  • Name, email address, and phone number.
  • Postal address (where required for correspondence or invoicing).
  • Contact preferences.
  • Health data and information about neurodivergent conditions, where you choose to share this to help us tailor our coaching support. This is treated as special category data under UK GDPR and is processed only with your explicit consent.

  • Payment and invoicing information.
  • Session notes, goals, and progress information created during the coaching relationship.

Information collected automatically

When you visit our website, certain technical information is collected automatically. This does not identify you personally but may include your IP address, browser type, device information, operating system, and pages visited. This information is used to maintain the security and performance of our website.

Cookies

Our website may use cookies and similar technologies to support its basic functions and to understand how visitors use the site. We use Google Analytics to analyse website usage. You can opt out of Google Analytics tracking at https://tools.google.com/dlpage/gaoptout.

We do not use cookies for advertising purposes and we do not share your data with advertisers.

Chat assistant

Our website has a chat assistant that answers general questions about our services. It is powered by Claude, an AI model made by Anthropic, which processes your messages to write replies. We do not store chat conversations. Please don't share health or other personal details in the chat. If you'd like to talk something through, contact Alex directly.

2. How Do We Process Your Information?

We process your personal information to:

  • Deliver coaching, consultancy, and training services.
  • Communicate with you about sessions, scheduling, and service-related matters.
  • Issue and process invoices.
  • Fulfil our legal and regulatory obligations, including safeguarding and data protection requirements.
  • Improve and develop our services.
  • Protect the vital interests of you or others where necessary.

3. Legal Bases for Processing

We process your personal information on the following legal grounds:

  • Consent: For sensitive personal data (such as health and neurodivergence information), we obtain your explicit consent before processing. You may withdraw consent at any time by contacting us.
  • Contract: Processing necessary to deliver the coaching services you have engaged us for.
  • Legal Obligation: Where we are required to process data to comply with a legal duty (e.g. HMRC record-keeping, safeguarding obligations).
  • Legitimate Interests: For operational purposes such as improving our services, where those interests do not override your rights.
  • Vital Interests: In rare circumstances where processing is necessary to protect someone's life.

4. Use of AI-Assisted Tools

Connect Coaching uses AI-assisted tools to support administrative tasks such as session planning, note preparation, and document drafting. We are committed to using these tools responsibly and in compliance with UK GDPR.

  • We do not input identifiable client data into third-party AI platforms without appropriate safeguards.
  • Where AI tools process any personal data, this is covered by contractual agreements with those providers.
  • AI tools are used to support the coaching process, not to make automated decisions about individuals.
  • The chat assistant on our website and client portal is powered by Claude (Anthropic). It answers general questions only, cannot see client records, and does not store conversations. See "Chat assistant" in section 1.

If you have questions about how AI tools are used in relation to your data, please contact us.

5. When and With Whom Do We Share Your Information?

We do not sell your personal data. We share information only in the following circumstances:

  • Service providers: Third-party platforms used to deliver our services (e.g. video conferencing, scheduling, invoicing tools), acting as data processors under our instruction.
  • Legal requirements: Where we are required to share information by law, court order, or regulatory authority.
  • Safeguarding: Where sharing is necessary to protect the welfare of a client or third party, in line with our Safeguarding Policy.
  • With your consent: Where you have specifically agreed to us sharing your information.

6. How Long Do We Keep Your Information?

We retain personal data for as long as necessary to fulfil the purposes for which it was collected and to meet our legal obligations. Our standard retention periods are:

  • Client coaching records and session notes: 3 years from the end of the coaching relationship.
  • Financial records (invoices, payment information): 6 years in line with HMRC requirements.
  • General correspondence: 2 years from the last contact.

After the applicable retention period, data is securely deleted or anonymised.

7. How Do We Keep Your Information Safe?

We apply appropriate technical and organisational security measures to protect your personal information, including:

  • Password-protected and encrypted devices and services.
  • Multi-factor authentication on key accounts.
  • Restricted access to personal data on a need-to-know basis.
  • Secure deletion procedures when data is no longer required.

No electronic transmission over the internet is completely secure. While we do everything we can to protect your information, you use our services at your own risk.

8. Information from Minors

We do not knowingly collect data from children under 16. Where we work with someone aged 16 or 17, a parent or guardian is involved and we only collect what's needed to provide the service. If you become aware that we have received information from a child under 16, please contact us at alex@connectcoaching.net and we will take steps to delete it.
